Refreshing Workspace Data

Why Workspace Data May Appear Out of Date

A Workspace is a Shared Observability Window. It shows a fixed slice of data, usually 7 or 30 days, taken at the moment the IT Environment was shared. It is a slice of time. As that window passes, the data does not update, so it will look old. This is intentional so advisors can base design decisions on a fixed snapshot period.

To get fresh data, use one of the following methods.

Option 1 - Detach and reattach the IT Environment.

The IT Environment owner removes the IT Environment from the Workspace and then adds it again. This clears the old data and replaces it with new data.

Advantages

  • Workspace members do not need new invites.

  • Avoids Workspace clutter if this happens often.

Disadvantages

  • The original Shared Observability Window data is deleted, which may remove the reference data used for designs.

  • A member of the Workspace must re invite the IT Environment owner.

Option 2 - Create a new Workspace.

Anyone can create a new Workspace and attach the IT Environment to it. This keeps the original Workspace unchanged and provides a new one with updated data. Users will need to be invited to the new Workspace.

Advantages

  • The original Shared Observability Window data is retained for future reference

  • Can be done entirely by the IT Owner. There is no need for them to ask to be invited again to the Workspace.

Disadvantages

  • They must know the list of users that need access to the new Workspace

  • It may result in a lot of Workspaces over time if the process is frequently repeated


Option 1 - Step-by Step: Detach and reattach the IT Environment to the Workspace

  1. The IT Environment owner logs in (this is the person that received the invite to install the Pulse Connector), goes to Workspaces and selects the Workspace to refresh.

  2. Select the settings cog on the top-right

  3. At the bottom of the settings screen, select Leave workspace. When the IT Environment owner leaves, the Workspace data is deleted.

  4. One of the remaining Workspace members then must invite the IT Environment owner back to the workspace.

  5. The IT Environment owner receives an invite in their portal and clicks it.

  6. They then click Join, select their company account if promoted and clicks c Confirm to rejoin the workspace.

    The IT Environment owner is now back in the Workspace and the IT Environment is reattached, creating a new Shared Observability Window.


Option 2 - Step-by-Step: Create a new Workspace.

  1. The IT Environment owner, clicks on Workspaces then Share my IT environment.

  2. Give the new Workspace a name, select the ITE Environment (there is normally only 1 to select), select the members of the new workspace that you wish to have access to the IT Environment data, and click Create.

    A new Workspace has now been created with a new Shared Observability Window. The old Workspace is still present.

NB: You do not need to reinstall OneIQ Pulse, and no data is lost. Both processes simply refreshes the current ITE data, which continues to update and remains fully visible to the IT Environment owner in the new Workspace.
